Get your warehouse live in six steps

This guide covers first-day set-up only: tagging the stock already on your shelves, putting it into locations, checking that the system shows the right quantities, and issuing parts for kitting. Follow the steps in order. Every screen shown is from the live system.

Ready check

Before you start

Make sure these are in place before the first tag is printed. If the Part Master or Location Master is empty, the search boxes in the steps below will find nothing.

  1. Every task starts from Home

Click a tile and a small window asks what you want to do. The Home button at the top left always brings you back.

  2. Four tiles for today

Label Print (step 1), Putaway (steps 3–4), Inventory (step 5) and Kitting (step 6).

  3. Shortcut search

Press Ctrl + K on any screen and type a screen name, such as “putaway”.

Step 1 On screen

Print tags with Quick Print

Stock already on your shelves has no inward entry, so you print its tags with Quick / Missed Label. Print one tag for each box, bag or bundle you will store on its own. Each tag gets its own number and QR code.

OpenHome›Label Print›Quick / Missed Label
Home › Label Print
Label Print window with two choices: From Inward Entry and Quick / Missed Label
✓
Choose Quick / Missed Label. “From Inward Entry” is for goods that arrive later against a supplier invoice.
Which purpose? Use Initial Setup for all stock you tag during go-live. Use Missed Label later, when a box was received but its tag was lost or never printed.

The purpose buttons sit at the top of the form. The system remembers your last choice.

Fill in the form Example: three boxes of one part

  1. Purpose

    Keep Initial Setup selected.

  2. Part number

Click the box, type a few characters of the part number or description, then pick the part. The UoM fills in by itself.

  3. Tag date, supplier, invoice

Tag date defaults to today. Supplier and invoice are optional for set-up stock.

  4. Number of labels

Use + and − to set how many boxes you are tagging.

  5. Same or different quantity

Same qty on every label for identical boxes. Different qty per label when a box is part-full.

  6. Quantity per label

Enter the count in each box. The total shows at the bottom with a green Ready mark.

  7. Reason and remarks

Optional for Initial Setup. A reason chip adds its text to the remarks.

  8. Check the preview

The label on the right updates as you type. The arrows page through each label.

  9. Print

Click Print 3 Labels or press Ctrl + Enter.

Confirm and print

A preview window opens with a sample label. Check the part number and quantity, then confirm. All labels go to the label printer. Tag numbers are given out at this moment, in the form DDMMYY-NNN, for example 011126-021.

Do not tag the same box twice. Every printed tag counts as stock waiting for putaway. If a print fails, reprint from Label Print instead of creating new tags.

Step 2 On the floor

Paste each tag on its part

Match each tag to its box before you peel it. The scanner reads the QR code from about arm’s length, so the tag must be flat, clean and facing out from the rack.

Before you move on: every box has one tag, each tag quantity matches its box, and the tagged boxes are kept together, ready for the putaway sheet.
Step 3 On screen

Plan the putaway

Every printed tag waits in Pending Putaway until it is placed in a location. Planning means choosing the tags one person will move and printing a putaway sheet for them.

  4. Sheet QR code

Scan it in step 4 to load the whole sheet at once.

  5. Sign-off

Operator and supervisor sign once the boxes are on the racks.

  6. Confirm Putaway

Goes to step 4 when the floor work is done.

Sheets that are printed but not yet confirmed are listed under Home › Putaway › In-Progress, each with a progress bar.
Step 4 Floor + scanner

Place the stock and confirm

Place each box in its location and write the actual quantity and location on the sheet. Then confirm in the system so the stock appears in that location. Stock does not show in a location until its putaway is confirmed.

  5. Actual location

Filled in from the plan. If the box went somewhere else, search and pick the real location. Add a remark if needed.

  6. Confirm

The line leaves the open list. Repeat until the sheet has no open lines.

Step 5 On screen

Check inventory levels

Once putaway is confirmed, check that the system matches the racks. The Inventory tile has four views of the same stock, and each answers a different question.

OpenHome›Inventory›Material · Location · Tags · Map
By MaterialHow much of this part do we have?

One row per part, with total quantity, locations and tag count. Open a row to see where it is stored.

By LocationWhat is in this location?

One row per occupied location. Open a row for its parts, tags and movement history.

By TagsWhat happened to this tag?

Every printed tag with in, out and available quantity, and whether putaway is done.

MapWhich locations are full or empty?

A rack-by-rack grid. Green cells are empty and blue cells hold stock. Scan a tag to find it.

  1. Switch view

The Material, Location and Tags buttons sit at the top right of each screen.

  2. Totals at a glance

Number of parts, available quantity, occupied locations and tags in stock.

  3. Search and filter

Search by part, rack or location, then click Apply.

  4. Quick filters

FIFO puts the oldest stock first. Multi-Location shows parts stored in more than one place.

  5. Open a row

Shows each location, its quantity and the tag numbers held there.

  6. Export

Downloads the list for a physical count check.

Numbers look low? The Material and Location views count only stock whose putaway is confirmed. The Tags view counts every printed tag. If the two differ, some tags are still in Pending Putaway: finish steps 3 and 4 for them.
Step 6 Screen + scanner

Issue parts with Direct Kitting

Direct Kitting is a one-step issue. Scan the tag of the box you pick from, enter the quantity, and the stock goes down as soon as you confirm. There is no plan and no second confirmation.

OpenHome›Kitting›Direct Kitting

✓
Choose Direct Kitting. Plan Kitting is the longer route with a printed pick list and is not covered in this guide.

  4. Scan the tag

Click the Tag No box and scan the QR on the box. The part and location fill in by themselves.

  5. Check what is available

The green pill shows what is left on that tag, for example “30 PC at BB008D”.

  6. Pick quantity

Starts at the full tag quantity. Change it to what you actually took.

  7. More boxes?

Click + Add row and scan the next tag. The total shows at the bottom left.

  8. Confirm

Click Confirm Direct Kit & Reduce Stock.

No tag in hand? Pick the part, type the location code first, for example BB008D, and choose from the list of tags stored there.
Check it worked: open Inventory › Tags and find the tag. The Out column shows the quantity issued, and Details lists the kitting issue.

Troubleshooting

If something goes wrong

The part I need does not appear in the search

The part is missing from the Part Master. Ask your administrator to add it under Masters › Part Master, then search again. Type at least three characters of the part number or description.

A window says the part I picked looks like another part

The system found parts with very similar numbers. Read both part numbers carefully, choose the one printed on the box, and continue.

A tag was torn or lost after printing

Find the tag number in Inventory › Tags and reprint it from Label Print. Do not create a new Quick label for the same box, or the stock will be counted twice.

The box went to a different location than planned

That is fine. In Confirm Putaway, change the location to where the box actually is before you press Confirm. The planned location is only a suggestion.

Inventory shows less than I expect

Some tags are still waiting for putaway. Open Inventory › Tags, click the Pending Putaway quick filter, and finish steps 3 and 4 for those tags.

Direct Kitting says “Tag not found” or shows zero available

Check that you scanned the tag on the box, not the putaway sheet. If the tag shows zero, everything on it has already been issued; pick from another tag of the same part.
